1. Registration Policy & Scope
This Cancellation & Refund Policy applies to all registration fees processed on diimun.org for DIIMUN Chapter 2 (2026), organized by Doctors Nexus Amity (DNA) and operated by Aghosh HealthTech Solutions.
DIIMUN is an academic, non-commercial Model United Nations conference with limited committee seating capacity, customized printed delegate placards, personalized conference kits, and dedicated dining arrangements.
2. Cancellation Terms
Once a delegate registration is confirmed and the Razorpay transaction succeeds, registration fees are strictly non-refundable. This policy is necessary because institutional resources, committee allocations, venue reservations at GHMCT Trivandrum, and catering hospitality are provisioned immediately upon delegate registration.
3. Delegation Substitution / Transfer Option
We understand that unforeseen medical emergencies or academic scheduling conflicts can arise. Therefore, we offer a flexible Delegation Substitution Policy:
- A registered delegate who cannot attend may transfer their registration and seat to another eligible medical student/scholar from the same or another institution.
- Substitution requests must be submitted in writing via email to doctorsnexusamity@gmail.com at least 7 days prior to the conference (on or before September 29, 2026).
- The email must include the original registration verification code, transaction ID, and the replacement delegate's full name, phone number, and college details.
- No administrative surcharge is levied for verified delegate substitutions.
4. Accidental Duplicate Transactions & Technical Errors
In the rare event of a technical glitch, network timeout, or accidental duplicate deduction during checkout:
- 100% Refund of Duplicate Deductions: If your bank account or UPI is debited multiple times for the same registration, the duplicate amount will be refunded in full.
- Resolution Timeline: Eligible refunds are initiated through Razorpay within 24 to 48 hours of verification and take 5 to 7 working days to reflect in your original bank account or payment method, adhering strictly to banking settlement cycles.
5. Conference Postponement or Force Majeure
If the conference is postponed or rescheduled due to state health directives, natural disasters, or unavoidable institutional emergencies:
- Your registration will automatically remain valid for the rescheduled dates without any additional charge.
- Delegates unable to attend on the rescheduled dates will be granted the option of full delegation substitution or credit toward future DNA events.
